Japan Apartment Application Documents Checklist

A practical checklist for identity documents, income or school proof, emergency contacts, guarantor-company checks, and submission hygiene before applying for an apartment in Japan.

Identity and address documents

Prepare both sides of your residence card, passport, and details that confirm your name spelling and period of stay; verify the recipient before sending copies.
If you recently arrived and do not yet have a current address, ask whether school, company dormitory, temporary address, or planned move-in details can be used.
Check that name order, roman letters, katakana, date of birth, and nationality on the application form match your documents.
If asked for a seal, signature, or resident record, confirm whether it is truly required, whether a signature is acceptable, and how recent the document must be.

Income, school, or employment proof

Employees can prepare employment proof, employment contract, payslips, or withholding statement; new hires should ask whether an offer letter or employment-condition notice is acceptable.
Students should confirm whether student ID, enrollment certificate, admission letter, scholarship proof, remittance source, or bank balance proof is needed.
Freelancers or self-employed applicants should ask what income proof format is acceptable, such as tax filing, bank transaction history, contracts, or invoices.
If income documents are not in Japanese, ask whether translation, an explanation note, or a Japanese document from your school or employer is needed.

Emergency contact and guarantor checks

Confirm whether the emergency contact must be in Japan, whether overseas family is acceptable, and how much name, relationship, phone, and address detail is required.
If a guarantor company is used, ask whether screening may contact you, your employer, school, or emergency contact, then warn those people in advance.
If a joint guarantor is requested, confirm whether a guarantor company can substitute and what responsibility and documents the guarantor would carry.
Do not enter another person's phone number, address, or workplace without consent. Emergency-contact details are also personal information.

Before submitting

Rename files clearly, such as residence-card-front, passport, and employment-proof, so the recipient can identify them.
Check that photos or scans do not cut off names, validity dates, document numbers, or addresses, and do not include pages that were not requested.
Confirm whether submission should use official email, a designated form, the agency system, or in-person handoff, then keep submission records and replies.
Before submitting, re-check move-in cost, move-in date, cancellation terms, and whether application money is refundable.
